Create a One-Time Invoice from a QuickBooks Online Recurring Template

Use Action > Use in QuickBooks Online to create and review an extra invoice from a recurring template without editing its schedule.

It shows what to review before saving, which template actions to avoid, and why to review the next scheduled invoice so you can decide whether the extra and scheduled invoices cover the same customer and period.

Use this path when a customer needs one extra invoice. Use a different path if you need to change future recurring invoices.

An invoice template is the saved invoice record QuickBooks Online uses on a schedule. Choosing Use creates an additional invoice from that record. It does not stop or move the template’s next scheduled invoice.

Open the recurring list

In QuickBooks Online, go to All apps, then Accounting, then Recurring transactions.

If your navigation looks different, try Settings ⚙ > Recurring transactions. Find the existing invoice template for the customer who needs the extra invoice.

Create the one-time invoice

Open Action ▼ beside the template, then select Use.

QuickBooks Online opens an invoice created from that template. Review and save this invoice without opening the template for changes.

Do not select Edit or Save template. Those actions can change the template or its schedule.

Do not select Duplicate. It creates another recurring template, not a one-time invoice.

Check the invoice before saving

Check these details on the invoice that opens:

  • Customer — Confirm that the invoice names the right customer.
  • Invoice date — Confirm that the date is the one you want to record.
  • Line items — Confirm that the listed work or products belong on this invoice.
  • Total — Confirm that the amount matches what you expect to bill.

Save the invoice only when these details are correct. If a detail is wrong, leave the invoice unsaved.

Watch the next scheduled invoice

Use does not stop, skip, replace, or reschedule the template’s normal run. QuickBooks Online can still create the next scheduled invoice.

Review that invoice when it appears. Otherwise, two invoices could cover the same customer and period.

> If you cannot find an option: If you cannot open Recurring transactions, select Use, or create the invoice, ask a company admin to check the QuickBooks Online screen layout shown to you and confirm that your role allows you to create invoices.

"Use" creates one more invoice, not a change to the next one.
